About the Role

This is a maximum term casual contract role from 2 November 2026 to 30 April 2027 (1 position) and from 4 January 2027 to 30 April 2027 (2 positions)

We’re seeking highly organised Coordinators to join our Competitions Administration & Systems team.

These roles sit at the heart of the Sydney Royal Easter Show and our Sydney Royal competitions – from animals and agriculture through to arts & crafts, food, flower & garden, cattle, horses, woodchopping and more. You’ll make sure entries, results and information are accurate, exhibitor enquiries are handled smoothly, and key deadlines are met during both show and non-show periods.

You’ll work closely with Competition Leads, Event Managers and Coordinators, help maintain and improve our competitions database, and support system rollouts and updates. You’ll also help keep our procedures, service agreements and training materials current as we continue to refine how we deliver competitions at the Royal Agricultural Society of NSW.

Key Responsibilities

  • Partner and work with Competition Leads, Event Managers and Coordinators to manage entries, transactions and results, delivering accurate, timely outcomes.
  • Provide data administration and customer services to Competition Sections.
  • Configure and maintain a competition database; ensure information is current and accurate; generate reports as required.
  • Coordinate activities covered by service agreements; keep agreement documentation up to date.
  • Participate in database user acceptance testing (UAT) and support system rollouts.
  • Keep process manuals and user guides up to date; assist Exhibitors and train Competition Officials.
  • Promote safe work practices and contribute to a positive, practical team culture.

Hours & flexibility

Core hours are 8:30am–5:00pm with flexibility. Additional hours will be required in the lead-up to and during the Sydney Royal Easter Show and other RAS events.

About You

You’re a detail-focused administrator who likes seeing things run properly behind the scenes.

You’ll be comfortable with busy periods, troubleshooting small issues before they become big ones, and helping others stay organised. You enjoy clear processes, but you’re also happy to adapt when things change.

You’ll bring:

  • Strong customer service and communication skills.
  • A calm, organised approach, even when there are competing deadlines.
  • Experience working collaboratively, plus confidence to work independently and take ownership.
  • Experience supervising a small team and coordinating workloads.
  • Confidence learning and using systems, and turning procedures into clear guides and checklists.
  • An interest in or willingness to learn what there is to learn on agricultural competitions and events.

Qualifications & Experience

Essential

  • 1+ year administration, data processing, customer service, events or a comparable operational environment.
  • Confidence in using Microsoft Outlook, Excel, Word; experience with databases and reporting.
  • Strong written and verbal English; demonstrated customer service capability.

Desirable

  • Experience creating or updating user guides, process manuals or training materials.
  • Tertiary qualification in business, administration and/or events or equivalent experience.
