Incident Coordinator

About the Role

Sydney Showground hosts major events, exhibitions and large public gatherings year-round. We’re looking for an Incident Coordinator to support safe event delivery by identifying WHS hazards, conducting inspections and compliance audits, and responding to incidents in real time.

You’ll be a calm and professional presence onsite—liaising with injured persons, witnesses and event stakeholders, gathering evidence (including photos), completing factual incident documentation, and supporting incident investigations and reporting requirements.

Roster: Shifts include a meal break where shifts are longer than four hours. This role requires some weekend and evening work, with additional hours depending on demand.

This position is only for the period of the 2026 Sydney Royal Easter Show, 1 April - 14 April.

 

Key Responsibilities

  • Patrol & monitor: Regularly patrol the event site, proactively monitoring work practices, equipment, plant and infrastructure; identify and report hazards and risks.
  • Inspect & report: Conduct random and scheduled inspections; report hazards and non-compliance; report dangerous goods and building damage incidents to the EOC and WHS Manager.
  • Respond & investigate: Respond to incidents as directed (Control Room/EOC/WHS Manager); interview persons involved; gather information to assess cause; complete incident reports using required formats (digital/written).
  • Liaise compassionately: Engage respectfully with injured persons, family/friends and witnesses; remain unbiased and evidence-based; assist distressed persons and record details accurately.
  • Document & capture evidence: Maintain detailed, factual notes for every incident and observation; use a compatible smartphone to complete online reports and attach photographic evidence.
  • Assess notifiable incidents: Assess and advise whether an incident is ‘notifiable’ under the WHS Act; preserve scenes when required until SafeWork NSW assessment; escalate to WHS Manager.
  • Other duties: Perform other reasonable duties to support event safety operations.

 

About You

  • Calm, professional and confident in high-pressure situations with strong judgement and attention to detail.
  • Empathetic communicator—able to engage with distressed or injured people while remaining factual and unbiased.
  • Proactive, practical and solutions-focused; takes initiative and follows through.
  • Strong organisational skills; able to manage multiple incidents, tasks and competing priorities.
  • Team player with diplomacy, honesty, integrity and a positive can-do attitude.

 

Qualifications & Experience

Essential

  • Higher School Certificate (or equivalent).
  • WHS and/or incident investigation training.
  • Current First Aid Certificate (HLTAID011 or equivalent).
  • Major event experience in a similar venue environment.
  • Knowledge of WHS Act (NSW) 2011 and WHS Regulation (NSW) 2017 and relevant Codes of Practice.
  • Confident using Microsoft Office and mobile/online reporting tools.

 

Desirable

  • White Card (General Construction Induction).
  • Knowledge/experience operating services and plant associated with venue operations.
